Problem statement
The air force’s logistics division required a digital solution to manage vehicle and transport requests between airfields and support units. The initial version of the portal, while functional, lacked usability and clarity for its operational users. The interface created friction for both logistics planners and requestors, leading to delays, manual errors, and reduced trust in the system.

Goals and objectives
Simplify the process for creating and managing military transport requests
Improve overall usability for personnel on both sides of the logistics chain
Ensure visual and interaction consistency in line with internal standards
Increase adoption through in-person training and post-rollout support
Collect and apply user feedback to improve future iterations

Discovery and research
Research Methods
Usability review of the live portal
Interviews with logistics planners and operational staff
Field observations during request processing
In-person training sessions with live feedback
Remote and onsite stakeholder engagement sessions
Key Insights
Users struggled with unintuitive workflows and confusing navigation
Important actions and data were hard to locate
Resource availability wasn’t easily visible, leading to manual follow-up
Inconsistent visual hierarchy made key tasks harder to complete
Different user roles had different needs, which weren’t clearly supported
To kick off the project, I initiated a robust discovery phase that aimed to understand the needs of both ends of the supply chain.
Research Methods
Field visits to restaurants and planning offices
One-to-one interviews with restaurant managers and planners
Remote stakeholder workshops spanning the UK, US, France, and Canada
Co-design and ideation workshops to rapidly generate and validate ideas
Cross-functional collaboration with a Business Analyst to build a holistic service view
Key Insights
Manual stock entry and communication methods led to frequent errors
Restaurant managers found the existing tools confusing and burdensome
Planners struggled with incomplete or inconsistent data
Regional operations varied, so a one-size-fits-all solution would not work
A flexible system needed to accommodate global requirements and localisation
Key Outputs
Key Outputs
Role-specific layouts and journeys to support operational efficiency
A consistent UI aligned with internal air force design guidance
Clear visibility into resource availability and request status
Improved navigation and reduced manual workarounds

Design process
Design Review
I evaluated the existing system against UX best practices and internal design principles, identifying areas for restructuring and simplification.
Wireframing & Prototyping
I created wireframes and interactive prototypes to address usability gaps and clarify the task flow for both request creation and fulfilment.
Iterative Testing
Prototypes were tested with real users prior to rollout. I also captured live feedback during and after the rollout, allowing for rapid refinements.
Navigation Overhaul
The menu and page structure were reorganised to better support user workflows, reducing cognitive load and time spent navigating.
Outcomes and impact
Significantly faster request submissions and reduced entry errors
Higher adoption rates due to in-person support and improved usability
Positive feedback from logistics and operational teams
Commended by senior leadership within the air force programme
Set a UX design standard for future military logistics tools
